Recurring Tasks

Recurring tasks makes planning repetitive assignments easy. Whether it’s weekly meetings, monthly reporting or annual reviews, simply choose the best suited frequency and you’re all set. 

To use recurring tasks, you first have to add dates to the task. Under the same property settings, you can also set repetition rules.

You can then select from the drop-down list how often the task should occur
  • •  Daily e.g., every day
  • •  Weekly on that weekday e.g., on Tuesdays
  • •  Monthly on that date e.g., on the 10th of each month
  • •  Annually on that date e.g., on January 1st of every year
  • • Custom, i.e, repeat this task every X days, weeks, months, years.
Next you can set an end date to your recurring task. You can also choose to have the task go on forever, end on a specific date or after a set number of occurrences.

Making Changes to Recurring Tasks

Making a one-off change to a recurring task breaks the repetition chain. The task you've edited becomes a regular task. The remaining repetition chain is now one task shorter. This can't be undone and tasks that have been turned into one-off instances remain as standalone tasks. Here's a few real-life examples:

  • •  I have a task called Daily standup that repeats 5x.

    The first Daily standup is finished and I mark that task done.

    Now, I will have 1 regular standalone task and a Daily standup task that repeats 4x.

  • •  I have a weekly repeating task to fill in our KPI sheet every Friday. 

    Our company policy changes and starting from next month, we will fill our KPI sheets on Mondays. I open the first task from next month, choose to edit 'This and following tasks' and change the task to repeat on Mondays instead.

    Now I have two separate repetition chains. One lasting until the end of the month, repeating on Fridays. The other one starting from next month and repeating on Mondays.

Here are the general rules how one-off edits apply:

  • •  All quick changes made on timelines views by drag-and-dropping or dragging a task's edge apply as a one-off edit to this task alone.
  • •  All the changes from the right-click menu ask for a scope - do you want to apply the changes to this task (and break the repetition chain) or to all instances.
  • •  Making changes from the Task card, you also need to choose the scope first - do you want to apply the changes to this task and this and following tasks. 

What You Should Know

Recurring tasks do have some limitations:

  • •  they are visible on Project Boards as one task representing all instances. 
  • •  they don't appear as overdue tasks in daily and weekly emails.
  • •  they don’t sync to Google Calendar
